Notice to meeting participants
A business using RevenueCallout may record or transcribe a sales or business meeting and use automated tools to create a transcript, summary, follow-up tasks, email drafts, coaching observations, predicted outcomes, or risk indicators. The business hosting the meeting determines why the meeting is processed and is responsible for providing notice and obtaining consent. RevenueCallout processes the content for that business as a service provider.
What may be collected
Audio or video where enabled by the meeting platform; transcript text; participant and company names; meeting date and link; statements, questions, commitments, objections, and next steps; and automated analyses derived from that information. Avoid sharing sensitive or regulated information during a recorded meeting.
Your choices
Ask the meeting host before the discussion begins if you have questions. Where consent is required, recording must not begin until every participant has agreed. A person who does not agree should be given a reasonable option such as disabling the bot or recording, using written notes, or rescheduling through another channel. Requests to access or delete meeting content should normally be directed to the meeting host.
Recommended spoken script
“Before we begin: with everyone's permission, this meeting will be recorded and transcribed. We use RevenueCallout and its service providers to generate a summary, sales analysis, and follow-up suggestions. The recording and analysis will be available to [Customer name] and handled under our privacy notice. You may decline, and we can continue without recording. Does everyone affirmatively agree?”
The host should preserve the recorded announcement and each participant's affirmative response. Silence, a calendar invitation alone, or the bot's presence should not be treated as consent where affirmative consent is required.
Recommended written notice
Add this language to invitations and chat: “This meeting is scheduled to be recorded and transcribed. [Customer name] uses RevenueCallout and listed service providers to create AI-assisted summaries, sales analyses, and follow-up suggestions. We will also ask for verbal confirmation at the beginning. Tell the host if you prefer a non-recorded alternative. Privacy information: https://revenuecallout.com/privacy.”
